Terms & Conditions

Of Participation in Diamonds, Gloves & Dreams Programs

These Terms and Conditions (the “Agreement”) govern the registration and participation of the athlete (the “athlete”) in programs, clinics, and camps (the “Program”) operated by Diamonds, Gloves and Dreams (“DGD”). By completing the registration process, the parent or legal guardian (“Guardian”) of the athlete agrees to be legally bound by these terms.

By registering for Diamonds, Gloves & Dreams (DGD), I acknowledge and agree to the following:

Program Commitment and Registration

Registration confirms the athlete’s placement in the selected session(s). DGD programs are structured, progressive, and designed for full participation to ensure skill development and safety. Attendance is expected for the duration of the registered session.

Payment and Refund Policy

All registration fees are final and are required to secure the athlete’s placement.

  • Non-Refundability: No refunds, credits, or make-up sessions will be issued for cancellations initiated by the Guardian, missed days, late arrivals, early departures, or scheduling conflicts.
  • Withdrawal: No credits or refunds will be provided for voluntary withdrawal from the Program once the session has commenced.
  • DGD Cancellation: In the rare event DGD must cancel a specific camp day or session due to unforeseen circumstances (with cancellation notice provided the evening prior between 4:00 PM – 7:00 PM when possible), a credit or refund may be issued at DGD’s sole discretion. Decisions regarding cancellations are made on a day-to-day basis.

Inclement Weather and Field Conditions

DGD operates primarily as an outdoor program and sessions will run rain or shine. Programming and any weather-related cancellation decisions are made on a day-to-day basis and apply to individual camp days or sessions only.

  • Severe Weather: In the event of extreme weather (e.g., lightning, heat advisories) or City-mandated field closures, DGD may cancel a specific camp day or session. Notice will be provided via email or phone the evening prior when possible, or the morning of the session if conditions change rapidly.
  • Modified Programming: Once camp is in session, athletes will remain under supervision and transition to structured, modified programming (including but not limited to team-building activities and softball IQ scenarios) in safe, sheltered areas as needed.
  • No Adjustments: Weather-related interruptions, modifications to the curriculum, or cancellations of an individual camp day or session do not qualify for refunds, partial credits, or make-up dates.

Health, Safety, and Medical Disclosure

The safety and well-being of our athletes are the highest priority.

  • Physical Fitness: The Guardian confirms that the athlete is physically fit and capable of participating in strenuous athletic activity.
  • Mandatory Disclosure: The Guardian must disclose all relevant medical conditions, severe allergies (including EpiPen requirements), medications, or physical limitations on the intake form prior to the start of the Program.
  • Medical Emergencies: In the event of an emergency, the Guardian authorizes DGD staff to seek medical treatment for the athlete if the Guardian or emergency contacts cannot be reached.

Code of Conduct and Participation

DGD is dedicated to providing an empowering, inclusive, and respectful environment for girls to develop their skills.

  • Behavioral Expectations: Athletes are expected to treat coaches, staff, and peers with respect.
  • Dismissal Policy: DGD reserves the right, in its sole discretion, to dismiss any athlete whose behavior is deemed disruptive, disrespectful, or a safety risk to themselves or others. In the event of such dismissal, no refund or credit will be provided.

Assumption of Risk and Waiver of Liability

The Guardian acknowledges that participation in softball training and outdoor sports involves inherent risks, including but not limited to physical injury, heat-related illness, and exposure to environmental conditions.

  • Waiver: The Guardian voluntarily assumes all risks associated with participation and hereby releases Diamonds, Gloves and Dreams, its owners, directors, coaches, and employees from any and all liability, claims, or causes of action arising out of any injury, loss, or damage sustained during the Program.

Media and Image Release

The Guardian grants DGD the irrevocable right to capture and use photographs and video recordings of the athlete taken during the Program for promotional, marketing, and educational purposes. This includes, but is not limited to, use on the DGD website, social media platforms, and printed marketing materials, without compensation or further approval.

Electronic Communications

By registering, the Guardian consents to receive electronic communications from DGD regarding program updates, scheduling changes, safety notifications, and future program opportunities. DGD may communicate via the email address and/or phone number provided during registration.

Governing Law

This Agreement shall be governed by and construed in accordance with the laws of the Province of Ontario and the federal laws of Canada applicable therein.

Acknowledgment and Agreement

By completing the registration and payment process, the Guardian acknowledges that they have read, understood, and voluntarily agree to be bound by these Terms and Conditions. The Guardian confirms that they have the legal authority to sign on behalf of the athlete.
